Job Description
The Executive Assistant (EA) to the Vice President provides high-level administrative and strategic support in a dynamic academic environment. EA plays a vital role in supporting the day-to-day operations of the VP’s office, ensuring efficiency, professionalism, and alignment with the institution’s strategic priorities. ensuring smooth day-to-day operations, managing schedules, communications, and assisting in cross-functional coordination.
Key Responsibilities:
Administrative Support
- Manage the VP calendar, schedule meetings, and handle travel arrangements.
- Prioritize and respond to emails and messages on behalf of the VP.
- Help prepare meeting agendas, take notes, and follow up on action items.
Academic & Institutional Coordination
- Support the VP’s engagement with departments, faculties & campus leadership.
- Support the preparation of reports and data for institutional accreditation, assessment, and strategic planning initiatives.
- Track initiatives related to curriculum, appointments, assessment, and strategic academic priorities.
- Prepare agendas, distribute meeting materials, take and distribute minutes, and manage follow-up on action items.
- Collaborate with Institutional Research, Academic Affairs, or staff to gather and synthesize data or reports.
- Maintain accurate records of department-related actions and timelines, ensuring compliance with institutional policies and deadlines.
- Monitor deadlines and follow up on action items related to academic planning, strategic initiatives, and institutional reporting.
Project Coordination
- Assist in tracking ongoing projects and deadlines across teams.
- Support the preparation of presentations, reports, and documents.
- Track deadlines, manage priorities, and follow through on projects to ensure timely execution.
Internal & External Communication
- Act as a point of contact between the VP and internal/external stakeholders.
- Draft professional emails, communications, and updates as needed.
Meeting & Event Support
- Organize team meetings, virtual events, and off-sites.
- Manage logistics for board meetings, webinars, and investor calls.
Roles & Responsibilities
- Support the creation and refinement of Embedded. VLSI, IOT, Data Science align with industry standards.
- Conduct practical workshops to demonstrate Embedded. VLSI, IOT, Data Science techniques and tools to trainees.
- Assist in conducting training sessions on embedded systems, covering topics such as microcontrollers, programming, and system design.
- Facilitate hands-on workshops and practical exercises to enhance participants’ learning experiences.
- Collaborate with senior trainers to design and develop engaging training materials, including presentations, manuals, and instructional guides.
- Maintain accurate records of training sessions, participant attendance, and assessment outcomes.
- Prepare reports summarizing training effectiveness, participant progress, and suggestions for future improvements.
